Position Summary

The Wedding Specialist is responsible for effectively booking, coordinating and overseeing all weddings and special events. He/she is also responsible for booking events to positively impact hotel revenues.

Duties and responsibilities
  • Develop a full working knowledge of the operations of the hotel, including Food and Beverage, Guest Services and Reservations.
  • Develop a complete knowledge of company sales policies and SOP’s, and ensure knowledge of and adherence to those policies by the sales team.
  • Meet or exceed set goals.
  • Assist in the preparation of required reports in a timely manner.
  • Be familiar with all Hotel sales policies and selling techniques with an emphasis on maximizing occupancy and Average Daily Rate (ADR).
  • Use your property’s computerized sales management system to manage the hotel’s business, including (but not limited to) generating reports, entering business, blocking space and building accounts.
  • Invite potential couples to the hotel for site inspections.
  • Meet and greet onsite contacts.
  • Professionally greet and service all walk-in customers.
  • Develop and maintain good relationships with officials and representatives of local community groups and companies, and attend bridal trade shows to promote weddings.
  • Coordinate, plan, and facilitate all details for catering only and wedding events. Details to coordinate include creating contracts, completing BEOs, meeting room specifications, banquet food and beverage, audiovisual, program details, deposits, and billing details.
  • Process all business correspondence within acceptable time limits. Create proposals, contracts and other business related documentation as required. Manages and maintains account files.
  • Ensures business booked is within hotel parameters
  • Must be present for all onsite wedding functions and any catering/banquet events.
  • Correspond with potential customers providing any requested information or collateral concerning menus, function space layouts, seating capacity diagrams, maps, area attractions, billing details and brochures.
  • Conduct efficient and professional site inspections, pre and post-cons.
  • Upsell all aspects of catering to include: specialty menus, receptions, breaks, breakfast, lunch, and dinner.
  • Prepare, coordinate, distribute and communicate detailed BEO information to Food & Beverage and Banquets.
  • Conduct a weekly BEO meeting with the F&B team.
  • Prepare, coordinate, distribute and communicate detailed specific group resume information to all departments in the hotel.
  • Attending staff meetings, morning meetings and other meetings as requested.
  • Perform all other duties as requested.

  • Long hours sometimes required.
  • Light work - Exerting up to 20 pounds of force occasionally, and/or up to 10 pounds of force frequently or constantly to lift, carry, push, pull or otherwise move objects.

Education and/or Professional Certification

  • High school diploma or equivalent required.
  • Bachelor’s Degree in Hospitality or related field preferred


  • 4 years of progressive hotel sales experience without a college degree; or
  • 2 years of progressive hotel sales experience with Bachelor’s Degree in Hospitality or related field

Specialized knowledge

  • Knowledge of and ability to operate a computer 


  • Basic mathematical skills to add, subtract, multiply and divide.


  • Must be able to communicate effectively with the public and other team members in verbal and written form
  • Ability to work independently and with a team
  • Follow and enforce all hotel standards
